Privacy Policy

What happens to the information you send us

This policy describes the enquiry form on this website, the email it produces and the few outside requests a visit makes. It is written to match what the site actually does, not to cover a longer list of possibilities.

01 — Who is responsible for this website

POPHIES LTD. publishes this website under the brand POPHIES, and is the party responsible for the information described here.

  • Flat 25, 6/F, Topsail Plaza, No. 11 On Sum Street, Shek Mun, NT. 999077
  • info@pophies.com

02 — What the enquiry form collects

The form asks for what a quotation needs, and for nothing else. Every field is submitted by you, and the form cannot run without the first four:

  • Name, company and business email address;
  • country or target market;
  • customer type, product interest, power mode and estimated quantity;
  • required certification and target price, both optional;
  • project notes — a free-text field of up to 4,000 characters.

There is no account to create, no password, no payment detail and no file upload field, and the fields above are the whole of what the form sends. The one thing that runs around it is the anti-robot check described in section 07: it screens the connection before the form is accepted, and nothing is stored or mailed until that check has passed.

03 — What happens after you submit it

The submission is checked on this website for spam, validated, and then stored as a private enquiry record on this site and sent as a plain-text email to the address published on this site. Your address is set as the reply-to address, so the answer you receive comes back to you directly.

The enquiry is stored on this website, not only mailed. It is kept as a private record that only the people who answer enquiries can open, so that nothing is lost if an email goes astray, and it carries the page you wrote from. No third-party form service, CRM, marketing platform, analytics product or advertising network receives the submission, and none is installed on this website. The systems that carry it are this website and the mail server belonging to it.

The anti-robot check described in section 07 runs before that storage and receives none of the fields above: it is given a technical signal about the connection and the browser, and decides whether a person is filling in the form.

The page you submitted from then confirms the result in place: it thanks you when the enquiry was stored, or tells you plainly that it did not go through. That is the whole of the feedback loop.

04 — Attachments and documents you send us

The page has no upload field, so nothing can be attached through the form itself. Drawings, logos, specifications or packing artwork that you send to our email address afterwards are handled as part of the same enquiry: they stay in the sales mailbox, they are used to answer the enquiry, and they are not published on this website. Please send only material you are entitled to share with us.

05 — Why we keep it, and for how long

An enquiry is held for one reason: to answer it. If it becomes a quotation or an order, the same email and its attachments are also the record of what was asked for and what was agreed.

An enquiry stays in the sales mailbox and as a record on this site for as long as it is needed for those purposes — while the enquiry is being answered, and, where it became an order, for as long as the order and its documents have to be kept. An enquiry that goes nowhere is not kept once it is clearly closed.

There is no advertising use, no profiling and no automated decision-making on this website.

06 — Who can see it

Access is limited to the people who answer enquiries and handle the orders that come from them: the sales team, and management where an order, a price or a claim has to be checked. Your information is not sold, rented or exchanged, and it is not passed to another company for that company’s own purposes.

07 — Cookies and requests to other services

  • Cookies: this website sets no analytics, advertising or profiling cookie of its own. WordPress sets cookies for a signed-in editor, and for visitors who leave a comment where comments are open; an ordinary visit needs neither.
  • Fonts: the Manrope and Inter web fonts are served by this website itself, from the same domain as the page. A visit makes no request to Google Fonts or to any other font service, so no IP address or browser detail leaves for one.
  • Links that leave this site: the WhatsApp link opens wa.me, and the email link opens your own mail application. Those services handle the request under their own terms.
  • Anti-robot check on the enquiry form: the form is protected by Cloudflare Turnstile. The contact page loads a script from challenges.cloudflare.com, and that service is sent a technical signal about the connection and the browser so that it can tell a person from a script. None of the values you type is sent to it, and it is used for this check alone; it can store a cookie of its own as part of that check, which this website does not read. Cloudflare handles that request under its own privacy notice.

No analytics script, advertising pixel, social embed or tracking code is installed in this website. Apart from the anti-robot check above, which only the contact page loads, its pages load only the site’s own styles, scripts and font files.

08 — What you can ask us to do

info@pophies.com

Write to that address to ask for a copy of an enquiry you sent, to have something in it corrected, or to have it deleted. There is no account of yours to close and no mailing list to leave, because this site keeps neither. Where an enquiry has already become an order, a deletion request is answered as far as keeping the order and its documents allows, and you are told which part cannot be removed and why.

09 — Contact

Questions about this policy, or about an enquiry you have already sent, go to the same address: the sales team that answered you in the first place.
